Dynamics GP and a Hidden Project Accounting Window

I recently worked with a client that uses both the Dynamics GP Human Resources and Project Accounting modules and by default, when both modules are in use, the client would see the HR Employee Maintenance window (Fig. 1) which does not have a Project button in the lower right corner.

This Project button is a handy button if you are using the Project Accounting module because it opens an alternative Project Accounting Employee Options window where you can specify: 

  • Employee's employer
  • Employment type
  • Employee expense settings
  • Pay code
  • Profit settings, posting accounts
  • Overhead computation

To have the Project button available in the Employee Maintenance window, you will need to grant the user(s) access to the Project Accounting Employee Maintenance window (Fig. 2).

Open the Alternative/Modified Forms and Reports window (Fig. 3), pick your user(s) respective ID, and grant access to the Project Accounting Employee Maintenance window.

A note of caution: The Project Accounting Employee Maintenance window (Fig. 2) does not have the Add-On check box in the lower left corner like the HR Employee Maintenance window (Fig. 1) does. This check box is part of the Pay Policy Manager in Advanced Payroll. It allows you use Add-On codes to adjust pay based on factors you create and assign to the pay code(s). With Pay Policy Manager, you can adjust the pay rate based on company, department, shift code or position.

Unfortunately, because both settings are user-specific, if your need access to both the Add-On check box AND the Project button on the Employee Maintenance window, you will have to create two Dynamics GP logins:  One with access to HR Employee Maintenance (Fig. 1) and the other wtih access to the Project Accounting Employee Maintenance window (Fig. 2).
