Year-End ERP Checklist for Dynamics GP

Dynamics GP year end checklist

Closing the year is always a busy season. Your team has deadlines. Your books need to be accurate. Your ERP system needs to support every step without slowing you down.

If you rely on Dynamics GP, now is the time to get your system ready. Clean data, updated forms, correct posting dates and the right service pack make the difference between a smooth close and a stressful one.

This guide will help you walk through things to review as you head into year-end and how HBS can help.

Dynamics GP: What’s New in the 18.8 Service Pack

Microsoft’s latest GP release, 18.8, includes updates that support year-end reporting, security and system stability. Installing the service pack keeps your GP environment aligned with current compliance, tax and reporting needs.

  • Stronger Email and Report Security: Sensitive email settings encrypt automatically on save and decrypt only inside GP. This helps protect Web Client, Graph Email integration and Power BI reports.
  • Fixed Asset Updates: Includes changes to luxury auto depreciation and added features for teams using Fixed Assets.
  • Payroll W2: Box 12 code II (Medicaid waiver payments) still does not produce a W2 form. Same behavior as last year.
  • 941 Prep Fix: Corrected missing string on the Payroll 941 Prep report.
  • 1099 Form Cleanup: Copy labels removed and 1099-NEC now prints a full four-digit year.
  • Technical Compatibility: Fully tested with TLS 1.3, .NET Framework 4.7.2 and Visual Studio 2019.

If you run GP for payroll, fixed assets, purchasing, or tax reporting, applying 18.8 now minimizes last-minute surprises.

Year-End Tips That Apply to All ERP Users

These are the areas most likely to cause delays, mismatches, or rework.

Verify Your Chart of Accounts
Make sure income statement and balance sheet accounts are classified correctly so retained earnings roll forward the way you expect.

Manage Posting Dates
Limit backdated entries by setting appropriate posting date restrictions and ensuring only authorized users can access prior periods.

Lock Down Inventory and Periods
Close inventory periods and accounting periods on time. Create the new fiscal year early to keep users from posting into the wrong period.

Prepare for 1099 Reporting
Review vendor 1099 setups early. Clean data makes January smoother. Run test reports before finalizing.

Reconcile Sub-Ledgers and the General Ledger
Before you close anything:

  • Match AP, AR, Inventory and Fixed Assets to the GL
  • Turn OFF direct posting for all control accounts
  • Review posting groups to prevent mismatches
  • Use Excel (VLOOKUP, MATCH, filters) to spot inconsistencies

Back Up Your Data and Print Key Reports
Save trial balances, aging reports, fixed asset details and inventory valuation. Keep copies before and after adjustments.

Print Final Trial Balances and Lock Posting Dates
After adjustments and closing, update posting date restrictions so the prior year remains clean.
