Your Microsoft Teams Archive Has Gaps You Might Not Know About

Microsoft Teams doesn’t handle compliance archiving on its own. It handles part of it. The rest comes down to your license, your configuration, and a Microsoft licensing change from late 2025 that may have narrowed your coverage without anyone noticing.
What Microsoft Purview Actually Archives
Microsoft Purview is Microsoft’s Data, AI, and Compliance governance platform for Microsoft 365. Configured correctly, it can retain and preserve Teams chats, channel messages, files, emails, and other Microsoft 365 content under policies you control. And for many organizations, that feels like enough coverage, but it is not always the full picture. Purview’s native retention stops short of two areas regulated businesses depend on.
Voice and SMS: SMS messaging in Teams currently requires third-party solutions for compliant archiving in many scenarios. Voice communications are more nuanced. Certain call records, voicemails, recordings, and transcripts may be retained within Microsoft 365, but organizations with strict communication and record keeping requirements often need additional solutions to capture and preserve all regulated voice interactions.
Message integrity: Retention and preservation policies help prevent data loss and support eDiscovery. They don’t automatically deliver an immutable records archive. Microsoft Purview offers a records declaration feature built for that. It locks content so it can’t be edited or deleted, and it logs every declaration in the audit trail. If your organization faces regulations that require immutable records, check whether your retention labels are set up to declare records, not just retain them.
The Licensing Change That Slipped Past Many
During 2025, Microsoft changed licensing eligibility requirements for the Microsoft Purview Suite and introduced new standalone Purview and Defender add-ons for Business Premium customers to fill the gap, each capped at 300 licenses per customer.
Organizations that previously licensed advanced compliance capabilities alongside Business Premium should review their licensing eligibility and renewal status. Changes introduced during Microsoft’s 2025 licensing updates may affect how certain compliance capabilities are purchased and maintained.
So Why Does This Matter Beyond IT?
Unfortunately, many organizations find compliance archiving isn’t just an IT checkbox. Regulators request records by person and time window, not by app. An archived Teams chat next to an unarchived phone call or text message won’t satisfy that request. Incomplete records can create significant compliance, legal, and eDiscovery risks because regulators and courts often expect organizations to produce a complete record of relevant communications.
Industries with the clearest exposure:
- Financial services, where SEC and FINRA rules require unalterable records
- Healthcare, where HIPAA governs any communication containing patient information
- Insurance, where state regulators can request full communication records during a claims dispute
Four Signs Your Teams Archive Has a Gap
Ask these questions internally before an auditor asks them for you:
- Does your archive capture Teams voice calls, or only chat and channel messages?
- When employees text clients from a company number through Teams, does that message get retained anywhere?
- Can your team produce every communication tied to one person across a set time window in a single search, or does that require pulling from multiple tools?
- Did your organization purchase Purview compliance add-ons through Business Premium? Has anyone confirmed those still apply under the current licensing terms?
Two or more “no” or “not sure” answers point to a structural gap in your compliance archive. Close it before it surfaces during an audit or legal hold.
